Sharing information with others

At TCCL it is necessary for us to collect personal information about you and your child. Sometimes we are required to confirm or share information with other organisations e.g. Local Authority, Other settings, OFSTED, HMRC, Local Safeguarding Children Board. If we need to do this, we will make it clear to you on the forms you complete giving us the information. We will inform you before sharing any of yours or your child’s information.

If your child is in receipt of government funding, you will be asked to sign a funding agreement form once per term, which allows your information to be shared, with the Local Authority. Please read all paperwork thoroughly before signing, so that you are clear on how your information will be used.


We will make sure that information about you and your child is accurate and up to date when we collect or use it. You can help us with this by keeping us informed of any changes to the information we hold about you and your child.

Information security

We will keep information about you and your child secure. We will protect your information against unauthorised changes, damage, loss or theft. All paper copies of information are kept in a lockable filling cabinet. Our computer and netbooks are password protected.

Keeping information

We hold information about you and your child for as long as lawfully needed. Information such as Accident/Medicine forms, Registers, Concerns about a child and Behaviour records, are by law required to be kept for 21 years and 3 months. Other information such as development records are deleted when a child leaves the setting. All information will be disposed off securely after the appropriate time period.

Access to information we hold.

You are able to access all information we hold about you and your child at any time you wish.

In general

We will comply with the Data Protection Act 1998, and any subsequent legislation on information handling and privacy. We will do this through TCCL’s Data Protection Policy. We will help you with any questions or problems that you may have with the Data Protection Act 1998, the Human Rights Act 1998 or the Freedom of Information Act 2000. If we cannot help you, we will signpost you in the right direction for more information.

Our Commitment

We will only collect and hold information that we are lawfully required to. We will be fair in the way we collect information about you and your child. We will tell you what we intend to do with the information about you and your child. We will collect information directly from you. If in the event we collect information about you from someone else, we will make sure you know that we have done this whenever possible.

Types of information we collect on enrolment

  • Yours and your child’s full names,
  • Yours and your child’s date of birth,
  • Your address,
  • Contact numbers,
  • Email address,
  • Emergency contact numbers,
  • National insurance number,
  • Your doctors and health visitors details,
  • What immunisations your child has had,
  • Whether your child has any medical conditions, allergies or intolerances.

While your child is at TCCL we store information regarding;

  • Their ongoing progress and development,
  • photographs,
  • Accident forms and medication forms.
  • We have CCTV installed at TCCL and all recordings are kept for 1 week then the system is set to delete the recordings after this time period.

Your data rights

  • You have the right to be informed – whether that be a data breach or how your data is held
  • You have the right to access your data
  • You have the right to rectification – change your address, contact numbers etc

We will only use your (Including your child’s) personal information in relation to our childcare service. We would like to send you information about our nursery but we need to be sure we have your permission to do so. We keep information so you can receive important updates about out nursery. We will keep your information secure and will never share it except if required to do so by law.
